Core capabilities, in the order work happens

What Dovaskin Does Day to Day

This page is for the person who will actually use the software: the admin, the bookkeeper, or the accountant running a Singapore SME's books. It follows the core capabilities in the order work tends to happen, from raising an invoice through to producing an audit file.

Judge fit against your own workflow, not a feature list

Every platform in this market can claim invoicing and reporting. What decides whether Dovaskin suits your business is narrower: which Singapore bank feeds you reconcile against, who prepares the GST F5 return, and whether your accountant wants the working papers handed over in a particular shape.

Use the sections below as a walk through a normal month. Where something does not match how you already work, that is worth a conversation before you commit to a migration.

A typical month starts with paperwork and ends with a filed return. The platform is built around that sequence.

Invoicing and getting paid

You raise a sales invoice in Dovaskin with the customer's details, GST treatment, and payment terms. The invoice goes out as a PDF, and the system tracks whether it is unpaid, part-paid, or settled. For recurring customers, you can set an invoice to repeat on a schedule so a monthly retainer does not need re-entering. Credit notes and adjustments sit against the original invoice, which keeps the audit trail readable.

Aged receivables are available at any point, so chasing payment does not depend on remembering to run a report. If you invoice in more than one currency, each invoice carries its own rate and the base-currency figure posts with it, which matters later when the accounts are reviewed.

What to check first

  • Whether your standard invoice layout can be reproduced, including any wording your customers expect to see.
  • How part-payments should behave on your larger contracts, and whether a deposit is recorded separately.
  • Which customers need a recurring invoice and on what day of the month it should raise.

Bring one recent invoice to the walkthrough and we can set it up live.

Expense capture

Purchases and expenses are recorded against the supplier and the account, with GST input tax flagged where it applies. You can attach the supporting document to the entry, which matters when an auditor or IRAS asks for evidence. Expense claims from staff can be entered the same way as supplier bills, so reimbursements do not sit outside the books.

For a Singapore business, keeping the GST treatment correct at entry is what makes the eventual F5 return straightforward. If a claim arrives without a receipt, the platform still lets you record it, but you can see which entries are missing support — useful before a review rather than after.

Supplier bills

Recorded against the supplier account with the GST category set at entry.

Staff claims

Entered the same way, so a reimbursement lands in the ledger rather than a side spreadsheet.

Bank reconciliation

Reconciliation is where most of the manual effort sits, so it gets the most attention. Anything unmatched stays visible in the queue rather than quietly disappearing into a suspense account.

Dovaskin pulls transactions from connected Singapore bank feeds and presents them for matching against invoices, expenses, or a rule. Once you match a recurring item, the rule can code it automatically next month. You can reconcile a full statement period and see the closing balance agree, rather than reconciling in batches and hoping it adds up.

Step one

Feed sync

Transactions arrive from your connected bank account and are listed against the ledger date.

Step two

Matching

Each line is matched to an invoice, an expense, or a coding rule — whatever already explains it.

Step three

Rules

A matched recurring item can be saved as a rule, so next month it codes itself.

Step four

Closing balance

Reconcile the full statement period and confirm the closing balance agrees before you move on.

GST F5 returns

The GST F5 return in Dovaskin is built from posted transactions, not a separate worksheet. Each sale and purchase carries its GST category, so standard-rated, zero-rated, and out-of-scope amounts are separated as the return is prepared. You can review the return figures before filing and export them for your accountant if someone else signs off.

When a return is filed, the period is recorded so the next cycle starts from a clean position. This is the part of the platform that saves the most time for a typical Singapore SME, because the box figures come from the same entries you already posted during the quarter.

Before you file, confirm three things

  • That every sale in the period carries the right GST category, including any zero-rated exports.
  • That input tax claims have supporting documents attached where they were requested.
  • That the figures have been reviewed by whoever signs the return for your company.

Audit file generation

IRAS can request an audit file covering your accounting data, and the format has to match the published standard. Dovaskin generates that file from the live ledger, with the transaction detail, account mapping, and tax codes structured as required. You do not need to rebuild anything in a spreadsheet first.

It is worth testing the export once during onboarding so you know it works before a request arrives. During implementation we run that test with you, check the account mapping against your chart of accounts, and fix anything that would make the file awkward to read.

If your accountant works in a different system, the exported figures and mapping can be handed over as they are, so a review does not turn into a re-entry exercise.

Payroll and employee records

Payroll sits alongside the accounts rather than in a separate system. You run a payroll period, the platform calculates the wage cost, employer CPF, and employee deductions, and the result posts into the ledger. Employee records are held against the payroll history, which makes it easier to answer a question about a past period.

If you use an external payroll provider, you can still record the resulting entries manually, so the accounts stay complete even when payroll runs elsewhere. What you get either way is a wage cost figure that ties back to the ledger rather than to a separate file.

Multi-user access and roles

More than one person usually touches the books, and they should not all see the same things. Dovaskin supports multiple users with roles, so a director can view reports without editing entries, and an external accountant can be given access to the periods they need.

Access is protected with multi-factor authentication. When someone leaves the business, their access is removed without disturbing the underlying records — the entries they posted stay in place and the audit trail remains intact.

Reports a director will ask for

The reports most Singapore SMEs need are unglamorous. Dovaskin produces them from the same data you post against, so there is no reconciliation between the report and the ledger.

Reports can be run for a period or compared against the prior one. If your accountant uses a specific layout, the underlying figures export cleanly rather than needing to be retyped.

  • Profit and loss Run for the month, the quarter, or year to date, and compared against the prior period.
  • Balance sheet Built from posted entries, so the figures match the ledger at the report date.
  • Aged receivables and payables Shows what is outstanding and for how long, without a separate chasing list.
  • GST summary A period summary that lines up with the F5 return before you file it.

Where the platform stops

Being clear about the edges saves everyone time.

Dovaskin is an accounting platform, not a full ERP. It does not replace inventory management for a business with complex stock movements, and it is not a point-of-sale system. If you need industry-specific operational software, Dovaskin can usually sit alongside it as the finance layer.

We would rather say that plainly than let you discover it after signing up. If your setup includes stock tracking, multiple retail outlets, or a production system that already holds its own ledgers, tell us how those pieces connect and we will say whether the fit is comfortable or not. The Contact page is the place to ask whether your specific setup fits.

Questions buyers ask before switching

Can I bring across several years of history?

Yes, if the source data is usable. During migration we review your existing chart of accounts, opening balances, and the transaction detail you want carried over. Where the source file is messy, we will tell you what needs cleaning before the import runs rather than after.

What happens if my accountant uses different software?

Your accountant can be given role-based access to the periods they need, so they work in the same ledger rather than waiting for a file. If they prefer their own tools, the reports and the audit file export in a form they can pick up without re-entry.

Do I need an in-house bookkeeper to run this?

No. Many of the businesses we work with have an office administrator doing the day-to-day entries and no dedicated finance hire. Setup, opening balances and the first reconciliation are handled with you during implementation, and support continues afterwards when a question comes up.

Which Singapore banks can I connect?

Tell us which bank accounts you operate and we will confirm what a bank feed looks like for each one before you commit. If a particular account cannot be connected directly, the alternative is a statement import, which still lands in the same reconciliation queue.

Who do I contact if something looks wrong?

Support runs Monday to Friday, 9:00 AM – 6:00 PM SGT on +65 6227 8752, or by email at [email protected]. For anything to do with a filing deadline, call rather than email so we can look at it with you.

See the features against your own books

Bring a recent bank statement, a sample invoice, and the last GST return you filed. We will walk through how each of these lands in Dovaskin, including the parts that would need changing, and you can decide from there.
